datformation® B.V. privacy promises

Although we prefer to collect as little data from you as possible, this is sometimes necessary to ensure certain actions and actions for the functioning of services that you purchase from us. We handle your data carefully to ensure that your privacy is guaranteed.

 That is why we promise to do everything we can to:

  • Protect your personal information as if it were our own.
  • To use your personal data only for the purposes described in this privacy statement.
  • Not to store your data for longer than is necessary to achieve the purposes stated in this privacy statement.
  • Share your personal data only if necessary for the execution of the agreement.

Which personal data does Datformation® B.V. process?

To execute the agreement you enter into with us, we need the following personal data from you.

Name and address details

Your name is stored because we prefer not to address you by your customer number. We need your address and place of residence, among other things, to prepare invoices, to contact us or to come by for a cup of coffee (if you invite us).

Company details

It is nice to keep personal and business separate. That is why we ask you to enter your (company) name and business address when you purchase our products as a company.

E-mail address

We store your email address so that it is possible to send you important messages about your order or account. We can also use your e-mail address to keep you up to date via newsletters about new developments at datformation® B.V. Of course you have the option to unsubscribe from this.

Phone number

We use your telephone number to contact you in an emergency or to request your input. We also use your number to send text messages to provide technical support.

Login details and customer number

We store your login details to secure access to your account, so that only you or people with whom you share this information can log in. We also create a unique customer number that allows us to help you faster.

IP address

We store your IP address to provide you with an overview from which IP address you have logged in to your account or from which changes have been made. This address is also used to better protect your account against unauthorized access from other locations.

Payment details

We store payment information - such as your PayPal and credit card details, your account number and your name as account holder - after a successful order. We also use other parties, such as credit card companies, to process your payments. When you place an order, we create both a unique quotation number and an invoice number that are linked to your account.

Other data that datformation® B.V. incorporated

We also collect some personal data that is not intended for the execution of an agreement. We do this on the basis of a legitimate interest or with your permission. This concerns the following data.

Work-related personal data

If you apply with us, we would of course like to know what you have to offer. We check this on the basis of your CV, motivation letter, portfolio or submitted application assignment. We will delete your personal data within four weeks if you are unfortunately not hired.


Some of the aforementioned personal data in combination with the cookies we place make it possible for us to see how you use our website and services and where your interests lie. This way we can better tailor our website, services and advertisements to your taste. The permission you have given for placing cookies and showing advertisements can be withdrawn at any time.

Server logs

If you use our services, we automatically store some information about your connection to our servers in so-called server logs. Consider your IP address, browser version, and the time of your visit. We use the data in these logs to resolve errors on our systems and to track down people who endanger our network and then take measures against them.

Other personal data

It sometimes happens that we receive additional personal data via support tickets, social media messages or e-mails that we have not requested. If we do not need this personal data to help you further, we will delete it – as far as technically possible.

Purposes of data processing

Of course, we do not process your personal data without underlying reasons, but we need them for:

  • providing access to our website and services, so that you can, for example, log in to your
  • administration environment;
  • making useful functionalities work on our website, so that, for example, your shopping cart is saved on your next visit;
  • entering into and executing your agreement with us, so that we know which services you are entitled to;
  • contacting you, for example to help you with a problem you are encountering;
  • handling your complaint, for a long and pleasant relationship;
  • securing our services and combating fraud, so that, for example, no one else pretends to be you;
  • handling responses to our vacancies, so that we know better whether you are the right match.

After obtaining your consent, we also use your personal data for:

  • gaining insight into the use of our website, so that we know, for example, which pages need to be better designed;
  • improving and evaluating our website and services, so that we know, for example, which new functionalities you would like to see in our services;
  • tailoring our content to your interests, so that, for example, you do not see advertisements on Google or Facebook that have no added value;
  • We will not use your personal data for purposes other than those discussed above, unless you have given your prior consent or we are legally obliged to do so.


We take strict security measures to prevent misuse and unauthorized access to your personal data. In this way, we ensure that only the necessary persons have access to your data, that access to your data is protected and that our security measures are regularly checked. We also use SSL certificates for the secure transfer of your data and your communication with us.

Automated decisions

Sometimes we make an automated decision based on personal data. Below we explain how this happens, what the reason is for this and what consequences this can have for you.

  • If an invoice is not paid on time, we will automatically send some warnings to the non-paying customer.
  • If no action is taken after this, we will block the services purchased from us.
  • As a last resort, a collection agency is contacted before services are automatically canceled.

Your privacy and third parties

We do not sell personal data to anything or anyone who asks for it. We will only share your data with others in the following three cases:

  • To provide or carry out our services

    We use payment services such as iDEAL or PayPal to enable different payment methods.

  • To carry out a legal obligation

    A police request may oblige us to share your data with the police.

  • To register a domain name

    Your details and domain name will be included in the whois database of the responsible domain name organization. If we do not share this, registration of a domain name will not be possible.

With your permission, we share your data with third parties in the following two cases:

  • To improve our services, website or advertisements

    We use software from other parties to measure how well a new product page resonates with you. For this purpose we use, among other things, the American Google Analytics, with which we have concluded a processing agreement.   • To obtain feedback

    We use research agencies to hear how satisfied you are with our services.

We use everything in our power to ensure that your data is properly protected and secured, even after it has been shared with another party.


Our privacy and cookie policy does not apply to websites of others to which we link from, among other things, our blog articles. Of course, we cannot see whether they handle your data as neatly as we do. If you end up on a website of another company, do not forget to read their privacy and cookie policy carefully before sharing your personal data.

Third party websites

Cookies can also contain personal data about, for example, your surfing behavior and interests. View our cookie policy for all the ins and outs about the cookies we use.
Your privacy rights

As a user of our website and services, you have some useful privacy rights at your disposal. For example, you can ask us to inspect or correct, move or delete your personal data. In addition, it is possible to request that further processing of your personal data be temporarily halted or even to object to this.

In order not to simply tinker with the wrong personal data, we can ask you to identify yourself adequately by sending an email or text message.

It is also possible to contact us if you do not want to exercise one of your privacy rights, but want to file a complaint about something you are not satisfied with.
